Booking Policy
Last updated: May 2025. By making a booking with Players Party Rooms, you agree to the terms set out below.
Booking Policy
Full payment is required to secure all Party Room bookings unless stated otherwise. Once paid, you will receive a booking reference by email and your room is reserved exclusively for the time window you selected. Main Room bookings are payable in two stages: a 50% deposit is taken at the time of booking, with the remaining balance due no later than one month before your event date.
2026 Main Room Hire Fees
Main Room hire is charged on an hourly basis, with weekday and weekend rates. Six-hour and ten-hour bundles are available and pricing varies by day of the week. For a personalised Main Room quote, please contact us with your preferred date, expected guest count and event type.
2026 Party Rooms Hire Fees
All Party Rooms are priced at £10 per person when booked in advance, or £15 per person on the door. Bookings include up to 4 hours of exclusive room hire, with extensions available at the bar on the night.
Cancellation & Refund Policy
Party Rooms: Bookings cancelled at least 3 months (90 days) before the event date are eligible for a full refund. Cancellations made within 3 months of the event date forfeit the booking fee. Main Room: Bookings cancelled at least 6 months before the event date are eligible for a full refund. Cancellations within 6 months of the event date forfeit the deposit. All cancellation requests must be submitted via your account or by contacting us directly. Refunds are processed within 5–10 business days back to the original payment method.
Bookings With Minors (Under 18)
Players Party Rooms is a licensed venue. For evening sessions, at least 50% of your group must be adults aged 25 or over. If this requirement is not met on the night, we reserve the right to cancel your booking without a refund. Under-18s are welcome in private rooms up to 11:30pm provided the adult ratio above is satisfied. No alcohol will be served to anyone under the age of 18 under any circumstances. Dedicated daytime kids' party packages are available — these have a different format and do not require an adult-majority group.
Pricing & Resale
Room hire includes exclusive use of your booked room and the standard in-room amenities (karaoke, lighting, sound, console and streaming connectivity, room service access). Food and beverages are charged separately. If your group size decreases after booking, the full booking fee remains payable. If your group size grows beyond your room's capacity, you'll need to upgrade to a larger room and pay the difference. We strictly prohibit the resale of room hire at an inflated price by any third party. Any booking found to have been resold will be cancelled immediately with no refund issued. Registered businesses requiring VAT invoicing should contact us before completing their booking.
Venue Rules
Re-entry is not permitted once you and your guests have exited the venue. Outside food is permitted; outside beverages are not allowed inside the venue. Drinks brought to the venue will be held securely at the bar and returned at the end of your event. Unfinished bottles of alcohol cannot be taken off the premises under our licensing regulations. Uncollected spirits and liqueurs are held for up to 1 month; sealed wines, beers, and champagnes for up to 15 days. Only venue-approved adhesive may be used for decorations. Damage caused by tape, pins, or other adhesives will be charged to the booking holder. There is no strict dress code, but all guests are expected to dress respectfully. The venue reserves the right to refuse entry at its discretion.
Technical Issues
We take every measure to ensure all in-room technology (lighting, sound, karaoke, connectivity) is fully operational at the time of your event. In the rare event of a fault, our team will work to resolve it as quickly as possible. Refunds will not be issued for minor or temporary technical disruptions.
Image Capture & CCTV
CCTV is in operation throughout the venue for safety and security. By entering, you consent to being recorded. Photography and videography may take place during events for marketing and social media purposes. If you do not wish to be photographed, please let a member of staff know on arrival.
Lost Property
Guests are responsible for their personal belongings at all times. Players Party Rooms accepts no liability for loss or damage to items brought into the venue. Lost property reports can be submitted via our website. Items are held for up to 14 days before being disposed of.
Offers Terms and Conditions
Any promotional offer is subject to availability and the terms displayed at the time of booking. Offers cannot be combined unless explicitly stated, and the venue reserves the right to withdraw or amend offers at any time.
