Policies
Cancellation by the customer
- Party Rooms (All rooms except the Main Room) Customers may cancel their booking and receive a full refund provided that written notice is received at least 3 months before the scheduled event date. No refund will be provided for cancellations received less than 3 months before the event date. - Main Room Customers may cancel their booking and receive a full refund provided that written notice is received at least 6 months before the scheduled event date. No refund will be provided for cancellations received less than 6 months before the event date. - Drinks packages and add-ons Drinks packages and optional add-ons may be added, amended, cancelled and refunded up to 72 hours before the event start time. Only alcoholic beverages included within the Players Party Rooms Drinks Menu are eligible for a refund. Any alcoholic beverages or products purchased specifically at the customer's request and not listed on the Drinks Menu are non-refundable. No drinks packages or optional add-ons may be added, amended, cancelled or refunded within 72 hours of the event start time. - Refund processing Approved refunds will be processed within 30 days of the cancellation request being received. Refunds will be made using the original payment method wherever possible. - Change of date requests Requests to reschedule an event may be considered by Players Party Rooms at its sole discretion and are subject to availability. Players Party Rooms is under no obligation to approve any requested date change. Approval of a date change request does not create any entitlement to future date changes. Where a date change request is not approved, the booking will remain subject to this Cancellation & Refund Policy. - Reduction in guest numbers A reduction in the number of guests attending an event does not constitute a cancellation and does not entitle the customer to any refund, credit or reduction in the booking value.
No-show policy
If the customer or their guests fail to attend the event on the scheduled date and time, the booking will be treated as a no-show. No refunds, credits or transfers will be provided in the event of a no-show.
Cancellation by Players Party Rooms
Players Party Rooms reserves the right to cancel a booking where it is unable to fulfil the reservation due to circumstances including, but not limited to: - Health and safety concerns, - Venue damage, - Technical failures, - Utility interruptions, - Licensing restrictions, - Staff shortages, - Security concerns, or - Any other circumstance beyond its reasonable control. In such cases, Players Party Rooms may offer, at its discretion: - A full refund, - A credit note, - An alternative room, or - An alternative event date.
Non-transferability
Bookings, deposits, payments, credits and refunds are non-transferable and may not be assigned, sold or transferred to another person, event or booking without the prior written consent of Players Party Rooms.
Chargebacks and payments disputes
Customers agree to contact Players Party Rooms directly regarding any payment dispute before initiating a chargeback or payment reversal through their bank or card provider. Players Party Rooms reserves the right to provide booking confirmations, correspondence, signed agreements, booking records, CCTV footage and any other relevant evidence to payment providers and financial institutions in the event of a disputed transaction.
Cancellation procedure
All cancellation requests must be submitted either through the customer's online account or via the contact form by selecting "Cancel my booking". A cancellation request will only be deemed received once written acknowledgement has been issued by Players Party Rooms.
Force majeure
Players Party Rooms shall not be liable for any failure or delay in performing its obligations due to circumstances beyond its reasonable control, including but not limited to: - Acts of God, - Fire, - Epidemics or pandemics, - Government restrictions, - Civil unrest, - Strikes, - Utility failures, - Transportation disruptions, or - Any other unforeseen event beyond its reasonable control. In such circumstances, Players Party Rooms reserves the right to offer a rescheduled date, credit note, partial refund or full refund at its sole discretion.
